Zomarr Factory RFQ Process

RFQ Workflow

A quotation is more useful when both sides know what is confirmed, what is optional and what still needs testing. This is the working sequence used for Zomarr product inquiries.

Zomarr Factory RFQ Process

An RFQ should produce a decision, not another round of vague questions. The quickest projects are not necessarily the simplest products; they are the projects where the buyer sends a clear brief and open items are recorded early.

The process below explains how a Zomarr inquiry can move from initial product interest to a quotation that reflects the actual order scope.

Step 1: Send the product direction

Start with a model number if you already have one. If not, describe the category, target customer and use scenario. “Portable massage cushion for ecommerce in Germany” is more actionable than “send massage products.”

Useful starting information includes target market, expected quantity, sales channel, preferred functions and planned launch date. You can review the current product selection before sending the inquiry.

Step 2: Confirm the base configuration

The response should identify the closest product model and the configuration being discussed. This includes color, power or charging version, key functions and standard packaging. Any unconfirmed item should remain marked as open rather than being treated as final.

Step 3: Define OEM or ODM requirements

If branding or customization is needed, separate each request:

  • Product logo and label
  • Color or material change
  • Instruction manual language
  • Retail packaging and barcode
  • Accessory or plug requirement
  • Function, control or structural change

This makes it possible to distinguish standard OEM work from changes that need additional evaluation.

Step 4: Receive a quotation basis

A useful quotation should be tied to a specific model, quantity and packaging basis. Shipping terms, destination and sample requirements may also affect the discussion. If the request is still incomplete, a preliminary indication may be more honest than a supposedly final price.

Step 5: Evaluate the sample

Use the sample to check function, massage feel, controls, sound, heat, size, materials and accessories. Compare the sample against the requirement list. Consolidate feedback so that the supplier receives one clear revision round instead of scattered messages from several people.

Step 6: Freeze product and packaging information

Before packaging artwork is approved, freeze the product name, model, functions, specifications, included items, warnings and labeling requirements. This reduces the risk of printing outdated information.

Step 7: Confirm order details

The final order discussion should cover the agreed configuration, quantity, packaging, delivery plan and required documents. Product and packaging approvals should be traceable, especially when several revisions have been discussed.

RFQ stage Buyer input Expected output
Initial inquiry Market, channel, category, quantity Relevant model direction
Configuration Required functions and customization Defined quotation basis
Sample Consolidated test feedback Approved or revised product
Packaging Logo, artwork, language, barcode Approved packaging files
Order Final quantity and delivery details Confirmed order scope

Fastest way to start

Send the model or category, quantity, target country, sales channel, packaging preference and sample requirement. Attach reference images only when they clarify a requirement; do not rely on an image without written specifications.

The existing guide, What Information Should Buyers Send for a Massage Product RFQ?, provides a field-by-field checklist.

Discuss a Product or RFQ

Send the product model or category, estimated quantity, target country and packaging requirements. Zomarr can then reply against a defined quotation basis.
